Some of my renters in the past assumed that I had full ownership of my unit so that it would be easy for me to give them another week if their plans changed. For this reason, sometimes I put language in my ads that no other weeks are available (some people still ask).

I always have a contract which states that the rental fee is non-refundable unless I can re-rent the unit. If I am able to re-rent it all additional costs are deducted from the payment I received from the defaulting renter.

I recently had someone back out of my Hyatt Pinion Pointe rental 10 days out because they were concerned about Covid-19. They did not try to ask for their money back, they just asked me to see if I could re-rent it. They even asked me to re-rent it for 50% off since it was so close to the check-in date. I did that and was able to secure another renter within 2 days. The original renter was happy to get half their money back (less my cost for a guest certificate and PayPal fee).

Congrats @TravelTime on getting the renter to an amicable solution. I think getting half back and trying to re-rent or deposit is the best alternative given no formal contract. We all live and learn. IMHO I do believe there was a contract given the emails in writing, but life is short, lawyers are expensive and sometimes we all need to move on because it's not worth keeping the hassle in our head.
