Sedona Summit Room Request

We will be staying in a one bedroom at Sedona Summit through an II exchange in a couple of weeks. I am hoping to get a unit in the newer portion of the resort (Mesa or Sunset) away from the road. The resort has informed me that I can put a request in. Just wondering if you have any suggestions as to the best method to go about this: by phone or in writing, how soon before we arrive, who to talk to, etc. We are not arriving until late in the evening so I don't want to wait until check in to make this request. I am also concerned that if we are giving the unit we want we may be moved if someone else checks in before us and asks for a similar unit. Any assistance would be greatly appreciated. Thank you.
