What method should I use to notify the Royal Resorts that I am renting a portion of my unit to someone else. Is there a form, or should I just mail a letter to them? Thanks for your help!

I always just mail a letter to the renter, cc ISCO.

Dear .....

This is to authorize your occupancy of the suite-half of my villa xxx week yyy from date to date in the Royal zzz. The suite-half consists of master bedroom, bathroom, living room, dining area, full kitchen, and large terrace. The maximum occupancy is four people.

Please bring a copy of this letter with you when you check in. I am also sending ISCO (Royal Resorts' management) a copy to verify your occupancy.

Sincerely,

Owner Loan Notification Form

There is an Owner Loan form on Interval Servicing (ISCO) website. You can access it from the member's section of the Royal Resorts website also.
If you can't find it, let me know and I can email it to you.

I do the same thing as Mike does. I have been renting royals over 12 years and ISCO wants it on their form with your signature.

I've seen the form mentioned here, but I've never had a problem just sending a letter - for more than 12 years! Even though I don't use the form, if there's any concern, the OP might be more comfortable using the form provided by ISCO.

Interval Servicing now gives you (the owner who is renting) a confirmation number for your "guests" that you then pass along to them. They can use it to call and confirm their reservation and at check in. I also use the owner/loan form.

I'm on the member's section of royalresorts.com now, and I don't see the form. I went to printable forms; the only rental related one I see is for enrolling in their rental program. Can you tell me where to find it?

Nice. How do you get the confirmation number? Does ISCO give it when you use the form, or do you have to ask for it, or ??

Always call ISCO to confirm prior to rented week

I am an owner who has rented extra space from another owner, as well as rented out my villa. Although ISCO was informed of all the details, both by phone and by faxing in the form, the rental arrangements were still mixed up or missing on their end. They did fix it, however, I would strongly recommend following up with a phone call at least a month prior to the rental to ensure that everything is in order and there will be no problems at check-in.

We've also rented in and rented out, and there's never been a problem...yet.

Calling is a good idea!

pjrose,

You can download the form from the ISCO (Interval Servicing) website as follows:

Click on Resort Members - Royal Resorts Mexico - Forms - Owner Loan.

I have always written a letter in the past but am trying the form they want used. Faxed it to them yesterday and am waiting for a confirmation number.

A couple of improvements I would like to see made to the form would be a space for me to include my email address (to get the confirmation - they have my current email address but what if I had made a change?). I would also like to be able to fill out the form online and send it directly. As of now you have to print a copy, manually fill it out, mail it, fax it or download the manual copy to to my pc and send as an attachment. If anyone knows how to change settings to be able to fill it out with a pc, please let me know.

Thanks,

Lenny

Personally I called Interval Serving and asked for the "Oner Loan and/or Extra Guest Info Sheet", as it is so titled and they emailed it to me. As of then, about two years ago, it wasn't available on the web site. As far as I know it is a paper/fax/regular mail communication back to them.

Last year they emailed the confirmation numbers to me. This year they gave them to me over the phone when I called. Typically after faxing in the forms, I wait 7-10 days and call them. This year when I asked about it they said they weren't emailing the conf numbers.

We're also renting a unit directly from the owners this month and the owners got a conf # for us and I used it to call and verify that our names are in their reservation system for the unit/week.

Lenny,
Thanks for the info of where to find the form.

Re doing it on a computer, one general process that works for such things is to

1. turn it into an image (scan it, or take a screen snapshot [Mac: apple/shift/3 ], or save it as a PDF [Mac: file/print/save as PDF/give it a filename / print] ).

2. use it as a background for Word or PhotoShop or some other program that lets you type text boxes. (open or drag into the program, define it as background layer)

3. Type the text right on top of the form and print. (create text boxes, drag them to the right places)

It's probably not worth the trouble for one use, but if you're going to do it a lot it may be worth the trouble.

Just an update to using the ISCO owner loan form. I faxed it to them on Saturday & got an email confirmation today which I forwarded to my renters. This sure makes it easy, convenient and takes the uncertainty of having a place to stay out of the minds of persons renting a unit.
